We are looking for a

Student Assistant - Alumni Affairs (gn)

part-time (20 hours per week). The contract is for a minimum of 12 months with possibility of extension and shall commence as of September 2026.As a member of the Alumni Affairs team, your work will support our goal to build a vibrant, global community by fostering meaningful, lifelong relationships with 3,300 Hertie School alumni in nearly 120 countries around the world. You will be working closely with the Alumni Affairs Director and Associate to provide support in planning and implementing a wide variety of alumni engagement activities, including events, communications and services.

Your tasks:
  • Lead the alumni data gathering, management, and reporting using Microsoft Excel and online tools.
  • Support the planning and execution of alumni events in Berlin and internationally, arranging venue, catering, travel logistics, and on-site support as needed.
  • Update the alumni website, ensuring the alumni news and events sections are up to date.
  • Design visuals for reports, events, and social media content using Canva.
  • Draft and distribute communications materials via LinkedIn, mail merge and online mass mailing system, ensuring timely and effective outreach.
  • Prepare reimbursement and invoicing processes in collaboration with the finance department.
  • Provide general administrative support as required.
Your profile:
  • Enrolled at a German university in a BA or MA programme (communications, design, political science, social science, or related subjects) at least for the duration of the contract period.
  • Excellent knowledge of English, both written and spoken. Good knowledge of German is a plus.
  • Very good knowledge of common MS Office applications (Word, Excel, Outlook, PowerPoint) and social media, particularly LinkedIn.
  • Excellent communication and organization skills.
  • Analytical mindset and meticulous attention to detail.
  • Basic experience in data and project management is an advantage.
  • Resilient, able to work calmly under pressure in a target-driven environment.
  • Able to work as part of a team as well as independently.
